Key Responsibilities and Duties

The selected candidate will undertake a diverse set of responsibilities, including:

  • Managing all administrative and logistical functions of the office, such as maintaining filing systems, overseeing procurement needs, and ensuring the office environment remains well-maintained.
  • Providing comprehensive support on human resources, financial, and procurement matters, including preparing reports, managing budgets, and processing administrative requests through automated systems.
  • Acting as a secretarial support, scheduling meetings, preparing agendas, and maintaining the Director’s calendar to facilitate smooth and timely operations.
  • Organizing meetings and events, including preparing documentation, coordinating invitations, taking minutes, and following up on action items.
  • Liaising with service providers, UN Protocol, and other entities to coordinate logistical and operational activities.
  • Managing expenditures, including calculations, cost estimates, and payments, while maintaining accurate accounts and monitoring budget allocations.
  • Compiling and analyzing activity data, preparing reports, and contributing to the development of the Office’s annual work plan and budget.
  • Performing various other administrative duties as needed to support the Office’s functions.

Qualifications and Experience

The ideal candidate will possess a strong educational background, with at least a high school diploma or equivalent. Extensive professional experience is essential, with a minimum of eight years in administrative, financial, or secretarial support roles. Experience working within the UN system or familiarity with UN administrative procedures is highly desirable.

Candidates should have proven skills in managing multiple priorities, excellent organizational and time management abilities, and strong interpersonal skills to foster effective partnerships in a multicultural environment. Proficiency in written and spoken English is required, with additional knowledge of other official UN languages considered an advantage.

Technical competence in Microsoft Office applications—including Word, Excel, Outlook, and PowerPoint—is essential, along with the ability to adapt quickly to new ICT tools. Knowledge of enterprise resource planning systems (ERP) and familiarity with UN operational procedures will strengthen an applicant’s candidacy.

Terms and Conditions

This is a fixed-term, one-year appointment, with the possibility of renewal based on satisfactory performance. The appointment is limited to a maximum of five years, after which the candidate may explore other opportunities within WIPO. The position is based in New York City, with the annual net salary set at USD 60,679, supplemented by allowances for dependents and language proficiency, where applicable.
