Position Overview
The Administrative Assistant role, classified under Grade G6, plays a vital part in ensuring the efficient functioning of WHO’s operations in the Philippines. The incumbent will be responsible for managing confidential information, coordinating schedules, preparing documentation, and supporting the smooth execution of office activities. This position demands a professional with strong organizational skills, excellent communication, and the ability to handle sensitive matters with discretion.
Key Responsibilities
The successful candidate will undertake a range of duties, including but not limited to:
- Ensuring the effective and efficient operation of the division’s administrative functions while maintaining strict confidentiality.
- Managing the supervisor’s calendar, scheduling appointments, and coordinating meetings with internal and external stakeholders, exercising proper protocol with high-ranking officials.
- Making travel arrangements, preparing itineraries, background documents, agendas, and briefing files for official travel.
- Handling the flow of information within the office by reviewing, prioritizing, and routing incoming correspondence, ensuring timely follow-up.
- Proofreading and quality-checking outgoing correspondence, reports, and official documents to uphold high standards.
- Maintaining updated databases of contacts, including government officials, diplomatic missions, development partners, UN agencies, NGOs, donors, and other relevant entities.
- Preparing presentations, reports, and other official documentation as required.
- Coordinating secretarial and administrative support services, distributing assignments, and guiding new staff on office procedures and communication standards.
- Assisting in briefing new appointees or prospective candidates regarding employment benefits and organizational policies.
Qualifications and Experience

- Educational Requirements:
- Essential: Completion of secondary or high school education.
- Desirable: Additional training or higher diploma/degree in office administration or related fields.
- Professional Experience:
- Essential: Minimum of eight years of proven experience in general office or administrative work.
- Desirable: Experience in health-related settings, supervisory roles, or within WHO or other UN agencies.
- Functional Skills:
- Knowledge of office procedures, standards, and protocol arrangements aligned with WHO policies.
- Ability to plan, organize, and coordinate meetings, schedules, and travel itineraries.
- Proficiency in researching, analyzing, and organizing information for reports and briefings.
- Competence in preparing translations and drafting correspondence.
- Strong written and verbal communication skills, with the capacity to evaluate priorities and provide sound recommendations.
- Ability to build and maintain effective client relationships and proactively serve organizational needs.
Language and Technical Skills
- Proficiency in English, both written and spoken, is essential.
- Knowledge of additional WHO official languages (e.g., French, Spanish, Russian, Chinese) is an asset.
- Skilled in using standard office software, including Microsoft Word, Excel, PowerPoint, and email scheduling tools.
- Familiarity with ERP systems such as Oracle or GSM for administrative processes is advantageous.

Remuneration and Benefits
