Position Overview
This is a full-time, term employment position with a contract duration of two years, based at the Canadian Embassy in Manila. The role is classified as Locally Engaged Staff (LES) – a local hire position governed by the employment terms applicable in the Philippines. The annual salary for this role is Php 603,061, complemented by bonuses and benefits, with the salary being non-negotiable.
Key Responsibilities
Under the guidance of the Canadian Defense Attaché Assistant (CDA A), the Program Assistant serves as a vital administrative support figure within the Canadian Defense Attaché Office (CDAO). The incumbent will perform a variety of clerical and administrative duties, including:
- Managing communications by receiving telephone calls and visitors.
- Preparing reports, official correspondence, and charts in English and the host country’s language.
- Organizing travel arrangements, accommodations, and scheduling meetings and appointments.
- Assisting with pre-visit preparations and coordinating hospitality events.
- Handling routine administrative tasks such as photocopying, filing, and archiving documents.
- Supporting the procurement of services and products locally needed by the office.
This role ensures smooth daily operations and supports Canada’s defense initiatives abroad through efficient administrative management.
Candidate Profile and Qualifications
The Embassy is seeking candidates who meet specific essential qualifications:
- Educational Background: A Bachelor’s degree from a recognized university in any discipline, or an acceptable combination of education, training, and work experience relevant to administration, defense relations, or finance.
- Language Skills: Fluency in English, both written and spoken. Proficiency in Tagalog is considered an asset and may be preferred.
- Experience: A minimum of two years of recent experience within the last seven years in client service, administrative support, or public interaction; familiarity with information management systems and electronic filing; and experience preparing accurate and well-written correspondence.

Operational and Working Conditions
The position requires a 37.5-hour workweek, with work hours from Monday to Thursday (8.25 hours per day) and a shorter 4.5-hour shift on Fridays. Flexibility to work overtime, including evenings and weekends, on short notice is essential, especially during visits or special events. Occasional travel within the region may also be expected.
