What are we looking for?
We are looking for someone with the following experience, qualifications and /or skillsets:

The successful candidate will need to be flexible, have good organisational and interpersonal skills with an exemplary work ethic, drive, and attention to detail. They must be proficient in Outlook, Word, Canva and Excel to accommodate the scope of duties required. The position reports to the Executive Head and Head of High School and works in collaboration with the academic staff. 

Commitment to the school’s ethos, values and vision are essential. This position is a full time, permanent position. Curro Hillcrest has a strong Christian foundation, and the successful candidate must be willing to promote and support this foundation.

The ideal candidate will hold the following qualities, and be responsible for the following:

General Duties

  1. Field phone calls, emails, and reception queries from and for parents, staff, teachers and learners.
  2. Make general and specific announcements regarding events and locating teachers and learners.
  3. Take delivery of various items for staff and learners and distribute the same.
  4. Take in and manage lost property.
  5. Manage intake of cash for events and manage the petty cash.
  6. Assist with uploading communications and alerts on D6, MyHub, including Newsletters and emailing of reports to learners upon query.
  7. Book couriers for staff and IEB.
  8. Maintain learner filing cabinets, and file documents and forms.
  9. Assist with compilation of application packs for collection.
  10. Assist learners and staff with logging of service calls for IT issues.
  11. Weekly collation all invoices, delivery notes, proof of payments and related documents for Accounts Department.
  12. Manage specific Wave cleaners for cleaning of Reception, sick bays, and various rooms used for cycle tests and extra lessons.
  13. Book extra security, support and cleaning staff for after-hours functions.
  14. Ordering and distribution of scrolls and badges for awards.
  15. Assist with capturing of late comers, and early leavers.
  16. Assist with ascertaining information required by staff or parents.

Sick Bay

  1. Manage daily sanitization of sick bays as they are used.
  2. Manage weekly laundry for sick bay bedding.
  3. Assist sick learners and monitoring sick bay use.

Stationery

  1. Manage and take regular inventory of stock in cupboard.
  2. Maintain regular ordering of paper and laminating pouches for printing.
  3. Order teacher stationery annually.
  4. Upload all purchases onto Dynamics.
  5. Assist with the paper drive at the start of the year.

Printers

  1. Liaise with IKON and log service requirements and maintenance issues for all printers.
  2. Maintain supply of toners and staples and log calls for delivery of same.
  3. Maintain high standard of neatness and sanitization in print rooms.

MERC Meetings

  1. Fulfill role as Secretary of the Committee.
  2. Take Minutes, transcribe and distribute same.
  3. Follow up on tasks designated during meetings.
  4. Maintain MERC file for audit purposes.

Groceries

  1. Ensure daily supply of milk, tea, coffee and sugar in staff room and to Wave and Maintenance staff.
  2. Manage distribution of refreshments to Staff, Wave and Maintenance
  3. Manage inventory of groceries cupboard and submit monthly recon of groceries used.
  4. Process all purchases onto Dynamics.

Keys

  1. Maintain key register for classroom / labs spare keys.
  2. Upkeep of replacement of keys and loan of keys where needed.

Newsletter

  1. Collate and draft monthly newsletter for editing.
  2. Source photos and edit articles.
  3. Follow up on photos and articles outstanding for submission.
  4. Distribution of Newsletter on D6, MyHub and email.

Maintenance Logbook

  1. Assist staff with logging of maintenance issues in logbook.
  2. Notify Maintenance Manager and relevant staff of issues logged.
  3. Follow up on completion of and signature to issues logged.

The successful candidate is required to undertake any other reasonable tasks that the Executive Head of the School determines. Whilst every effort has been made to explain the main duties and responsibilities of the post, each individual responsibility undertaken may not be identified. The duties outlined above are not intended as a restrictive list and may be extended or altered to include other tasks that are appropriate with the role
