DETAILED ROLE PROFILE OUTLINE

  • Establish and maintain an appointment diary and arrange meetings for the CCO
  • Perform filing and tracking of documentation and correspondence
  • Co-ordinate correspondence and communication between the office of the CCO and other Units.
  • Organize documentation and assist with preparations for meetings, agendas, venues refreshments, etc.
  • Record keeping of meetings and resolutions.
  • Follow through meetings to provide / obtain information, reports and other documents that may be required.
  • Scheduling and arranging meetings with the Business Units and GMA external stakeholders.
  • Liaise with legal, financial and various consultants and business associates 
  • Take messages on behalf of the CCO and evaluate the urgency of the call and take appropriate action.
  • Research info for the CCO
  • Submit to MANCO such information as may reasonably be required from time to time in connection with the business of the GMA.
  • Make travel arrangements for the CCO.
  • Perform any other duties related to the CCO’s office.
  • Arrange meetings and take minutes.
  • Follow-up on action items/matters arising.
  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
  • Oversee day-to-day office activities as the main point of contact in reception, and keep management informed regularly via performance reports
  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events, maintaining file systems, mailing and welcoming new employees within the department.
  • Ensure that all items are invoiced and paid for on time.
  • Provide general support to visitors.
  • Improves productivity within the office and aligns business activities with strategic and operations plan.
