Job Description

Position Summary

In this role, you will perform secretarial and general office tasks, such as handling phone calls, filing confidential documents, and typing for multiple staff members. Proficiency in relevant computer software and shorthand skills is beneficial.

Typical Day-to-Day Responsibilities

The role of the Factory Administrator involves the following duties and responsibilities to be fulfilled:

Communication Management

  • Prepare and distribute communication materials accurately and on time.
  • Create PowerPoint presentations using approved templates and ensure accuracy in Excel spreadsheets and other documents.
  • Answer, screen, and redirect phone calls as needed.
  • Manage and circulate internal and external communication documents.
  • Draft and manage agendas, take meeting minutes, and prepare both confidential and standard correspondence for local and international distribution.

Departmental Support

  • Effectively manage and maintain the director’s MS Outlook calendar, schedule meetings, and coordinate required resources with attendees.
  • Consult daily with the director regarding diary entries to avoid scheduling conflicts.
  • Promptly reschedule meetings when urgent matters arise.

Travel Coordination

  • Organize travel arrangements, including flights, accommodations, and car rentals.
  • Handle tickets, visa requirements, vaccinations, and other travel logistics for both local and international trips.
  • Ensure smooth travel arrangements through follow-ups and confirmations.
  • Compile itineraries with all necessary details for travelers.
  • Organize local travel and provide maps and directions when needed.
  • Arrange chauffeur services as required and coordinate with internal or external service providers for effective service delivery.

Office and Stationery Management

  • Manage departmental stationery orders and stock, adhering to budget limits.
  • Order business cards, photocopy documents, and ensure swift mail distribution.
  • Liaise with service providers to organize resources for the director, such as cell phones and laptops.
  • Facilitate the successful transition of directors with any business or personal handover processes.

General Administration

  • Maintain departmental filing systems, including archiving, and ensure compliance with statutory requirements.
  • File project, appraisal, leave records, and other relevant documents accurately.

Office Maintenance

  • Maintain a tidy office environment and report any defects for repair.
  • Coordinate the procurement, documentation, and shipment of product samples.
  • Process purchase requisitions and communicate necessary procedures.
  • Distribute monthly reports to relevant directors and management teams.
  • Compose and type correspondence, spreadsheets, and presentations as needed.
  • Take meeting minutes as required.

Event Coordination

  • Organize and manage conferences, corporate functions, and events, including venue booking, catering arrangements, and guest list coordination.
  • Negotiate pricing with hotels and conference venues, and ensure their suitability for events.
  • Promote Nestlé products during events as per company directive.
  • Compile and distribute departmental schedules and telephone lists.

Budget Management

  • Assist the Managing Director in preparing the initial departmental budget.
  • Run monthly expenditure reports and provide feedback.

Qualifications for Success

Applicants will be required to meet the following minimum requirements to be considered for this role:

  • Post-Matric Secretarial qualification.
  • At least 3 years of relevant experience.
  • Proficient English communication, with the ability to adjust language for different audiences and situations.
  • High levels of confidentiality and professionalism are required.
