,The International Labour Organization (ILO) is seeking a dedicated and resourceful Administrative and Finance Assistant to join its team in Damascus. This role is a crucial part of the organization’s efforts to support recovery, social protection, and employment initiatives across Syria. The position offers a unique chance to contribute to impactful projects aimed at fostering economic stability and social development in a country navigating complex post-crisis recovery.

About the Role and Organization

Located within the ILO Regional Office for Arab States (RO-Arab States) based in Beirut, the Administrative and Finance Assistant will be stationed in Damascus, supporting the implementation of several key activities. These include labor market surveys, social protection reforms, enterprise assessments, and infrastructure projects—all vital to the country’s recovery efforts.

This fixed-term appointment is for one year, with the possibility of extension depending on project needs and funding availability. The successful candidate will work under the direct supervision of the ILO Syria Country Coordinator and receive technical guidance from the Regional Administrative Unit in Beirut.

Key Responsibilities

The Administrative and Finance Assistant will undertake a diverse set of duties to facilitate smooth project operations and effective office management, including:

  • Drafting and Communication: Preparing standard correspondence and official documents in both Arabic and English, ensuring they meet ILO standards. This includes reports, technical documents, presentations, and official letters for project activities.
  • Financial and Procurement Support: Assisting in processing transactions within the ILO’s financial system (IRIS), including contracts, travel requests, purchase orders, and payments. Supporting procurement activities by ensuring transparency, efficiency, and value for money, in line with ILO guidelines.
  • Administrative and Logistical Support: Organizing meetings, seminars, and workshops, including preparing agendas, logistics, and materials. Supporting the logistics for field visits, workshops, and official travel, including visa arrangements, accommodation, and security clearances.
  • Record Keeping and Documentation: Maintaining accurate and organized files—both physical and electronic—of project documents, reports, and procurement records. Compiling and reviewing reports from field experts for financial clearance and project monitoring.
  • Translation and Interpretation: Providing informal translation of documents and correspondence from English to Arabic and vice versa. Assisting with interpretation during meetings, workshops, and field visits.
  • Office Support and Asset Management: Managing office supplies, inventory, and assets according to ILO policies. Supporting the maintenance of office equipment and ensuring smooth day-to-day operations.
  • Additional Support Tasks: Assisting with the preparation of project progress reports, presentations, and briefings. Performing other duties as required to support the ILO’s work in Syria.

Candidate Profile

The ideal candidate will possess the following qualifications:

  • Completion of secondary school education; a first-level university degree is an advantage.
  • At least three years of practical experience in office management, clerical support, or administrative functions.
  • Proficiency in standard office software packages such as Word, Excel, PowerPoint, and email, with the ability to handle routine administrative tasks independently.
  • Demonstrated ability to organize work, prioritize tasks, and meet deadlines under pressure.
  • Excellent command of both English and Arabic, with strong written and oral communication skills.
  • Knowledge of UN policies, procedures, and practices is desirable but not mandatory.
  • Strong attention to detail, accuracy, and a customer-oriented approach.
