,CIVICUS, a global alliance of civil society organizations and activists dedicated to the promotion of citizen action, is excited to announce an opening for the position of Programme Assistant within its Local Leadership Lab (LLL). This role offers the unique opportunity to work from home or remotely, allowing you to contribute to a significant initiative aimed at enhancing local leadership and community-led development.
Position Overview
As a vital member of the LLL team, the Programme Assistant will operate under the supervision of the LLL Project Coordinator, supporting the implementation of various activities designed to empower local partners and stakeholders. The Programme Assistant will handle a blend of administrative, operational, technical, and content-related tasks, ensuring the smooth functioning of the project and its associated activities. This position is initially offered on an 11-month contract, with a competitive salary of USD 20,411.96 per annum, excluding benefits.
Responsibilities and Key Activities
The Programme Assistant’s role spans various areas of responsibility, with an emphasis on supporting project implementation, administrative tasks, communication, and additional duties as needed.
Support for Project Implementation, Knowledge Management, and Network Engagement (40%)
In collaboration with the LLL Coordinator, the Programme Assistant will engage in several important activities critical to the initiative’s success:
- Logistical and Technical Support: Providing assistance in scheduling, organizing, and documenting both virtual and in-person meetings. This includes ensuring all necessary resources are in place for effective discussions and engagements.
- Contract Management: Supporting the coordination and management of consultant contracts while ensuring compliance with organizational procedures.
- Event Coordination: Assisting in the planning and execution of various LLL events and activities, such as Sounding Board meetings, peer-learning circles, and influencing webinars, facilitating knowledge-sharing and collaboration among stakeholders.
- Knowledge Management: Organizing and maintaining documentation, resources, and reports related to LLL activities, ensuring that all insights and learnings are collected and shared appropriately.
- Research and Networking: Conducting desk research to identify opportunities for engaging partners regionally and globally. Additionally, attending virtual convenings on locally led development and providing debriefs to the team on key learnings and trends in the civil society ecosystem.
Administrative Support (40%)
Working closely with the LLL Program Coordinator, the Programme Assistant will also handle various administrative tasks, including:
- Partner Liaison: Liaising with partners and service providers on administrative or financial issues to streamline collaboration.
- Procurement Processes: Documenting and following procurement policies, including reference checks and developing subgrant contracts, as well as working with finance and operations teams to process payments.
- Financial Reconciliation: Carrying out periodic reconciliations of program finances, ensuring transparency and accuracy in reporting.
- Grantee Support: Assisting grantee partners in developing financial and narrative reports, compiling necessary documentation to support their efforts.
- Travel Logistics: Coordinating travel arrangements for staff and partners, including maintaining travel documentation and managing travel invoices and expenses.
Communication Support (10%)
In collaboration with the communications officer, the Programme Assistant will contribute to the crafting of various media formats—print, social media, video, and audio—to help achieve LLL objectives. This will include the dissemination of relevant content both within the CIVICUS Secretariat and to an external audience, helping to amplify the initiative’s reach and impact.
Additional Responsibilities (10%)
The role may entail other duties as needed, ensuring that all staff embody CIVICUS values and principles in every professional interaction. Flexibility and adaptability are key in this dynamic work environment.
Qualifications and Skills
To thrive in this role, candidates should possess the following qualifications:
Education and Experience
- A degree in a relevant field or equivalent work experience.
- Fluency in English is required.
Core Knowledge, Skills, and Experience
- Familiarity with civil society, development, human rights issues, and global trends in civic space.
- Ability to convey complex information in a creative and accessible manner across different media.
- Experience working collaboratively in diverse, multicultural environments, particularly in remote settings.
- A minimum of one year of experience supporting project implementation, including logistics, technical support, and communication.
- Proficiency in digital tools, including MS Office and online collaborative platforms (e.g., Sharepoint, Google Docs, Miro, and/or Mural).
- Strong organizational skills, with the ability to manage multiple deadlines effectively.
Desirable Attributes
- Candidates with practical experience or a strong understanding of civil society organizations or grassroots groups in the Global South are encouraged to apply.
- Working knowledge of Bahasa Indonesian and Swahili is preferred.
- Experience supporting procurement processes and good communication skills will be an asset.
