The Senior Office Assistant position is situated within the UNIDO Regional Office in India, under the supervision of the GLO/RFO/ASP division. This role supports the Regional Office’s operations by providing essential administrative assistance, ensuring the smooth functioning of the office, and supporting the organization’s broader goals in the region.
Role Overview
The Senior Office Assistant is a pivotal administrative role designed to support the UNIDO India Office’s operational and programmatic activities. Reporting directly to the UNIDO Representative, the incumbent is responsible for managing a wide array of administrative tasks related to technical cooperation programs and projects, ensuring efficient service delivery within a complex organizational environment.
This position requires a highly independent professional, capable of handling specialized administrative processes and exercising a high level of integrity and confidentiality. The Senior Office Assistant plays a key role in maintaining the organization’s administrative standards, supporting budget oversight, and facilitating effective communication across internal teams and external partners.
Key Responsibilities
- Administrative Support: Manage incoming requests, prepare documentation for supervisor approvals, and provide background information on projects and programs as needed.
- Correspondence and Documentation: Draft routine and non-routine official correspondence related to administrative and technical cooperation matters. Prepare reports, presentations, and statistical summaries by extracting relevant data.
- Financial and Budgetary Tasks: Assist in monitoring and implementing aspects of the office’s budget and technical cooperation projects, including budget revisions, obligation reviews, project extensions, and fund allocations. Interpret financial procedures and policies, ensuring compliance with UNIDO guidelines.
- Process Improvement: Identify opportunities to streamline administrative processes, recommend improvements, and implement best practices to enhance service delivery.
- Supervision and Coordination: Provide guidance and support to other administrative staff, coordinate work planning, and ensure timely execution of tasks within the team.
- Client Support and Inquiries: Act as a point of contact for internal and external inquiries related to administrative services, providing solutions and advice as appropriate.
- Operational Tasks: Handle procurement requests, travel arrangements, visa applications, and other administrative actions using SAP or comparable systems.
- Record Keeping: Maintain comprehensive and organized electronic and physical filing systems, ensuring data accuracy and confidentiality.
- Additional Duties: Carry out ad-hoc assignments, conduct research, and support other organizational needs as required.
Minimum Requirements and Desirable Criteria
Education:
- Completed higher secondary education or high school diploma is required.
- First-level university degree or equivalent is desirable.
Experience:
- A minimum of ten (10) years of relevant work experience supporting managerial or professional staff, with proficiency in administrative procedures, preferably within the UN system or a multicultural environment.
- Experience with SAP or similar ERP systems is desirable.
Languages:
- Fluency in written and spoken English and Hindi is mandatory.
- Working knowledge of additional UN languages is an asset.
Technical Skills:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Familiarity with office procedures, document management, and administrative best practices.
