The Project Assistant will work directly under the supervision of the Head of the Task Force supporting the “Global Alliance for Responsible and Green Minerals,” a strategic initiative aimed at promoting responsible practices along critical minerals supply chains.

The Directorate of SDG Innovation and Economic Transformation (IET) focuses on developing innovative services and partnerships that support sustainable industrial practices, including climate-smart technologies, standards, and financing mechanisms. The Project Assistant will support the Task Force “Global Alliance,” which acts as the Secretariat responsible for establishing a common understanding of sustainable minerals’ development, as well as developing globally applicable ESG standards for the mining sector.
Key Responsibilities
The Project Assistant will perform a range of administrative and project support functions, including:
- Screening incoming correspondence and drafting replies for supervisor’s signature on non-technical matters; providing background information and tracking pending issues to ensure deadlines are met.
- Responding to information requests, handling inquiries, and referring complex issues to appropriate personnel.
- Drafting routine correspondence and editing documents to meet UNIDO standards, ensuring clarity, accuracy, and proper formatting.
- Assisting in preparing presentations, reports, communication materials, and maintaining the organization’s website and public relations documents.
- Supporting project administration activities, including reviewing budgets, monitoring project progress, and tracking expenditures through SAP or similar tools.
- Initiating and following up on actions related to recruitment, procurement, travel arrangements, and other administrative processes.
- Managing administrative arrangements for meetings, events, and official visits, including reservations and documentation.
- Preparing official documents such as requisitions, purchase orders, travel requests, and visa applications.
- Conducting research and performing ad-hoc assignments to support project activities.
- Maintaining organized physical and digital files and databases related to project activities.
Qualifications and Experience
Candidates interested in this position should meet the following minimum requirements:
- Education:
- Completed higher secondary education (high school diploma or equivalent).
- Formal administrative training or higher education in relevant fields is desirable.
- Professional Experience:
- At least six years of relevant work experience in office procedures, project administration, or related fields, preferably within the UN system or a multicultural environment.
- Experience in project management, finance, or secretarial support for managerial staff is advantageous.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience using SAP or similar ERP software is desirable.
- Languages:
- Fluency in written and spoken English is required.
- Knowledge of other UN official languages is a plus.
