The Western Cape Government’s Department of Local Government is inviting applications for the position of Administration Clerk: Disaster Operations based in Tygerberg. Job Purpose

In this position, you will play a crucial role in providing comprehensive administrative support to the Fire Rescue Services section. Additionally, you will assist with logistical arrangements for meetings and workshops, which will include taking minutes and ensuring effective communication throughout the department.

Minimum Requirements

To be eligible for this position, candidates must have the following qualifications:

  • Grade 12: A Senior Certificate or equivalent qualification is required to demonstrate foundational educational competencies.

Key Performance Areas

The Administration Clerk will be expected to fulfill the following key performance areas:

  1. Administrative Support:
    Provide essential administrative services to the Sub-Directorate, ensuring smooth operations and effective communication across various teams.
  2. Expenditure Control:
    Exercise strict control over expenditures within the Sub-Directorate. Prepare and provide insights into the Sub-Directorate’s budgeting processes, which will be critical in managing financial resources effectively.
  3. Staff Records Management:
    Maintain and manage an organized system for processing staff records. Keeping accurate records will be fundamental to complying with departmental requirements and ensuring transparency in HR processes.
  4. Resource Procurement:
    Assist in the procurement of essential resources for the Sub-Directorate. This responsibility will involve working with various suppliers and service providers to ensure timely delivery of the required materials.
  5. Logistical Arrangements:
    Provide logistical support for various meetings and workshops, which includes coordinating schedules and resources, and ensuring that all participants have what they need to contribute effectively.
  6. Minute-Taking:
    Accurately record minutes of meetings and ensure they are distributed to relevant stakeholders in a timely fashion to keep everyone informed of decisions and actions taken.

    Demonstrated ability to plan and organize tasks efficiently within deadlines, ensuring that all operations run smoothly.

    Ability to work collaboratively in a team environment, while also showing initiative and efficiency in independent tasks.

Remuneration

The successful candidate for the Administration Clerk: Disaster Operations position will receive an annual salary of R216,417, in addition to benefits amounting to 37% of the salary (as per salary level 5). The remuneration package may include service benefits or obligations for qualifying employees, such as medical assistance, housing assistance, and pension fund contributions.

Selection Process

Candidates who are shortlisted for the position will need to undergo various verification checks, including documentation verification and criminal record vetting. They may also be required to attend practical assessments and interviews scheduled by the department, adhering to the specific selection process guided by the Employment Equity (EE) targets of the department.
