What You’ll Do as a Procurement Assistant
In this role, you’ll provide essential administrative support to the Procurement Manager and Buyer, ensuring the department runs smoothly. Here’s a glimpse of your responsibilities:
- Administrative Tasks: Manage documents, prepare reports, and maintain the Grower Programs.
- Supplier Coordination: Communicate daily with suppliers, ensuring product availability and conducting weekly reconciliations.
- Buyer and Planner Support: Work closely with buyers and planners to align product supply with demand and initiate corrective actions when necessary.
- Order Management: Help manage orders and maintain accurate static data records.
- General Support: Assist the commercial team with tasks like updating prices and supplier packs.
- Report and Presentation Prep: Prepare departmental reports, presentations, and supporting documents using Excel, Word, and PowerPoint.
- Market Comparisons: Conduct market comparisons and update promotional calendars.
- Meeting Coordination: Arrange meeting logistics, book rooms, travel, and parking.
- Data Management: Compile, update, and organize supplier files and run Qlicksense reports for category development.
- Event Support: Handle critical tasks during events and manage ad-hoc queries.
What We’re Looking For
Technical Skills:
- At least two years of relevant administrative experience, preferably in retail or a commercial environment.
- A Diploma or Matric (Grade 12) qualification.
- Proficiency in Microsoft Office Suite, especially Excel, PowerPoint, and Word.
- Familiarity with systems like COGNOS, CAM, JDA, and Oracle is a plus.
- Basic understanding of retail accounting practices and buying and planning principles.
Behavioural Skills:
- A strong team player who works well with others.
- Highly organized with a knack for efficient administrative processes.
- Proactive, anticipating the needs of the Buyer.
- Able to make routine decisions independently when necessary.
- Excellent communication skills, both verbal and written.

- Strong interpersonal skills, with a focus on customer service.
- Maintains professionalism and can handle confidential information with discretion.
