Join IFC’s Dynamic Singapore Office as a Program Assistant

The IFC Singapore office is currently seeking an experienced and motivated Program Assistant to support the Financial Institutions Group (FIG) Regional Industry Director for the Asia & Pacific region. This full-time, three-year appointment offers a unique opportunity to be at the heart of development work, providing comprehensive administrative support that enables the region’s strategic initiatives to flourish.

Role Overview

As a key member of the IFC team in Singapore, the Program Assistant will serve as the backbone of daily operations, ensuring smooth coordination and efficient management of executive tasks. The role requires a proactive individual capable of working across departments and liaising with internal and external stakeholders, including senior leadership, government officials, and partners across the Asia-Pacific region.

Key Responsibilities

In this pivotal position, the Program Assistant will:

  • Manage Time and Schedule: Oversee complex calendars, monitor changes, and communicate updates effectively to relevant staff. Prioritize conflicting demands and resolve scheduling conflicts, ensuring the team’s commitments are met efficiently. Prepare presentations, briefing materials, and research documents for meetings, media engagements, or speaking events, ensuring accuracy and professionalism.
  • Provide Administrative and Logistical Support: Arrange international and regional travel, including flights, accommodations, ground transportation, visas, and related logistics. Organize high-level visits and meetings, coordinate event logistics, and maintain organized files—both electronic and paper—related to ongoing projects.
  • Draft and Edit Communications: Prepare correspondence, reports, and presentations with polished language and proper formatting. Incorporate feedback and ensure documents adhere to IFC standards, leveraging desktop publishing skills when necessary.
  • Coordinate Travel and Events: Manage detailed travel itineraries, liaise with travel agencies, and ensure seamless logistics for team trips. Assist in organizing workshops, seminars, and training sessions, including procurement processes, vendor management, and event setup.
  • Track Tasks and Projects: Develop and maintain tracking tools to monitor project timelines, deliverables, and follow-up actions. Collaborate with team members to ensure deadlines are met and information is up-to-date.
  • Support Team Collaboration: Participate in regular team meetings, prepare agendas, record minutes, and follow up on action points. Foster a collaborative environment within the IFC and WBG community in Singapore.
  • Provide Back-up Support: Offer assistance to colleagues during absences or busy periods, ensuring continuity of operations across departments.
  • Additional Tasks: Undertake other duties assigned by the Country Manager or regional leadership to support the office’s overall functions and strategic priorities.

Candidate Profile

The ideal candidate will bring a wealth of experience and skills, including:

  • A bachelor’s degree and a minimum of 8 years of relevant administrative or program support experience.
  • Exceptional written and verbal communication skills in English, capable of drafting and editing various documents independently.
  • Proven ability to work effectively under tight deadlines and in high-pressure environments, with flexibility to work overtime when necessary.
  • Strong organizational and time management skills, with the capability to multitask and prioritize across competing demands.
  • Demonstrated discretion, tact, and good judgment in handling confidential information.
  • A proactive, resourceful, and adaptable approach, with the initiative to anticipate needs and solve problems independently.
  • Excellent interpersonal skills, with the ability to work collaboratively with diverse teams across remote locations.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook) and familiarity with desktop publishing tools.
